Digital Employee Build

A digital employee is an AI agent with a job. I build one around your business: connected to your tools, carrying your memory, and grounded in the context of your business from its first day.

Priced by scope

What is a digital employee?

A digital employee is an AI agent assigned to carry a specific area of work inside an organization. It takes instructions, uses connected tools, draws from persistent business context, acts on a schedule or a trigger, and produces work that a person or another system depends on. People also call it an AI employee or an AI worker; I call it a digital employee because it is supposed to hold a job.

That is the difference from the chat window most people meet first. A chatbot waits for somebody to ask it a question. A digital employee is expected to recognize when its work needs to start, follow the operating instructions for its role, finish the task, and report what happened. I wrote more about that line in I Have Killed More Digital Employees Than Most People Have Built.

What is a Digital Employee Build?

A Digital Employee Build is the engagement where I stand one up inside your business. We define the job, I build the harness around it, connect it to your tools and memory, load the context of your business, and bring it online with you watching. It starts the way a good new hire starts: already knowing the company, not yet trained on every task.

Is there an example of a digital employee I can see working?

Yes. Carrie, the facilitator of Knowing Your Why and Build Your Business Brain, is AI Actualized’s own digital employee. Her job is running the games: she reads every answer a founder gives, marks what it makes clear and what is missing, fills in their Business Brain, and audits their website against it. Both games are offered as a courtesy, so you can watch a digital employee do its job before you decide whether you want one in your office.

She was built the way I build for clients: a defined job, written operating rules, the tools the job needs, and a person responsible for her. Everything she does on the board is checked by the game before it counts.

What can a digital employee do for a small business?

A digital employee can carry narrow, repeated, keyboard-bound work that follows the same shape most days: sorting and filing what arrives, drafting first responses, keeping records current, following up on leads, preparing summaries, and reporting what it did. The best first job is usually the one you wish you never had to touch again.

It is strongest on structured work with a clear standard for done. Open-ended judgment, relationships, and the calls that carry real consequence stay with people. That is not a limitation I am apologizing for; it is where the line belongs.

How is a digital employee different from a chatbot or an automation?

A digital employee differs from a chatbot because it acts without waiting to be asked, and from a basic automation because it can handle work that varies. An automation follows a fixed path. A digital employee uses language, memory, tools, and reasoning to decide what arrived, where it belongs, when something is uncertain, and when it has to stop and hand the decision to a person.

That flexibility is the value and the risk in the same package. The more room an agent has to interpret, the more carefully the business has to define what it knows, what it may touch, and who answers for it.

What does a digital employee need to know about my business?

A digital employee needs to know what your business is, who it serves, what it sells, how the work gets done, and how the business sounds. Without that, it fills the gaps with inference, and AI is an amplifier: an unclear business gets its confusion repeated faster than anyone can catch it.

That context is bigger than any one document, and most owners have never had a reason to put it into words. The first two steps of the ladder are where that thinking starts. Knowing Your Why works through your Mission, Vision, Core Values, and North Star. Build Your Business Brain works through the basics, the offer, the proof, and where you are headed. Both are exercises offered as a courtesy, and what comes out of them is a major building block of the context a digital employee is built on, alongside your processes, your tools, your data, and what we learn defining the job.

How does a Digital Employee Build work?

A Digital Employee Build runs in four stations, and each one has to be sound before the work moves to the next:

  1. Define the job. What work belongs to it, what authority it has, which tools it may use, how success gets measured, and which decisions stay human.
  2. Build the harness. The digital employee is set up with its instructions, connected to your tools and a persistent memory, and loaded with the context of your business, including what you built in the first two exercises.
  3. Spin it up live. We bring it online together and watch it work real tasks before you depend on it.
  4. Train it one piece at a time. New work is added as packages, each one earned by the last one running reliably.

How much does a digital employee cost?

A Digital Employee Build is priced by scope, because the cost follows the job: how many tools it touches, how much it has to know, and how much supervision the work needs. I look for the highest-leverage, lowest-cost first role, then we price that role before anything is built. A consultation is where that starts.

Will a digital employee replace my staff?

A digital employee is meant to carry the work that wears people down, not to replace the people. The goal is to protect your team’s time, bodies, relationships, and judgment by moving repetitive keyboard work off their plate, so the human work gets the attention it deserves.

What happens if a digital employee does not work?

If a digital employee does not start moving toward the job, I say so early rather than pour months into a build that is not going to hold. I have built a lot of agents, watched a good number of them fail, and kept the ones that earned their place running. Every failure left a clearer map of the job. Training is part of the work; attachment to a bad build is not.

Who is responsible for a digital employee after it is built?

You are, the same way you are responsible for any employee, and every digital employee I build has a named person who supervises it. I build the harness, stand the digital employee up, and train it with you. When a role needs production engineering, security work, or maintenance beyond that, a qualified developer takes that station, and I stay involved as the guide and translator.

Let's actualize this in your business.

Start where it makes sense for you. Every engagement begins by naming the right problem and ends with systems that work.
